How to Use SudsScheduler

A simple, owner-friendly guide for managing cleaning bookings, appointments, confirmations, add-ons, teams, routes, clients, and invoices — from the web dashboard or the mobile app.

How confirmations work

SudsScheduler confirms appointments with a simple link — there is no app for your clients to download. Email clients get a confirmation email automatically, 24 or 48 hours before the job — you choose which in Settings. For text clients, you send a ready-to-go message from your own phone with one tap. Either way, the client taps the link to confirm, add optional extras, or ask to reschedule — and it updates everywhere instantly.

Available in 4 languages

SudsScheduler is offered in English, Portuguese, Spanish, and French. Confirmation emails, texts, and client messages are sent in each client’s preferred language, so you can reach everyone in the language they are most comfortable using.

Quick Start

  1. Sign in to SudsScheduler.
  2. Add your clients (name, phone, and email).
  3. Add your teams or cleaners.
  4. Create your add-on services.
  5. Build your cleaning checklists and assign them to clients.
  6. Copy your booking link from Settings and share it.
  7. Schedule upcoming appointments.
  8. Review your message templates.
  9. Set your auto-send timing (24 or 48 hours) in Settings.
  10. Check the Dashboard or Today tab each morning.

Best Daily Flow

  • Morning: review today’s jobs, pending confirmations, conflicts, and routes.
  • Before each job: open job details, review notes, check the address, and get directions.
  • After each job: mark it completed, review add-ons, and update the invoice.

Getting Bookings & Confirmations

Your booking link

Share your personal booking link so new clients can request an appointment online. Find it in Settings, copy it with one tap, and post it on your website, Google profile, Facebook, or Instagram. Clients pick a service and a date and send a request — no account needed.

Booking Requests

When someone books through your link, the request lands in Booking Requests. Review it and tap Approve — which creates the client and the appointment for you — or Decline. Nothing hits your calendar until you approve it, so you stay in control.

Confirmations by email

For clients set to the Email channel, SudsScheduler automatically emails a confirmation before the job. The client taps the link to confirm, tick any add-ons, or request a new time — no action needed from you. Set the timing in Settings → Auto-Send Timing: 24 or 48 hours before. If a client says it never arrived, tap Resend email on the Confirmations page.

Confirmations by text

For clients set to the Text channel, open Confirmations and tap the client. Your phone’s text app opens with the full message already written, including the confirmation link — you just press send. It goes from your own number, so any reply comes straight to you.

The confirmation page

The link opens a simple page where the client confirms the appointment and sees your optional add-ons. Anything they tick is attached to the job and flows onto the invoice automatically — you never do the math yourself.

Reviews & Google

After a job, the review link lets a client leave a private rating and comment just for you. If they are happy, they can tap Share on Google to post it to your Google profile — but only with their approval. Add your Google review link in Settings to turn this on.

Using the Web Dashboard

Dashboard

Start here each day to see your schedule, confirmed appointments, pending confirmations, notifications, and schedule-conflict alerts. Switch the schedule between Today, the next 3 days, or the next 7 days, and see any accepted add-ons right on each job.

Calendar

View jobs by month, week, or day. Open an appointment to update the time, duration, service type, team, notes, or arrival deadline. Export to a calendar file when needed.

New Appointment

Click + New Appointment, choose the client and service, pick the date, time, and duration, assign a team, add notes, and save. It appears everywhere instantly. Tick Flexible time when the job doesn’t need an exact hour — the route optimizer can then move it to wherever it fits the driving route best, and the client sees a time window instead of an exact time.

Booking Requests

Review appointment requests that come in through your public booking link. Approve to instantly create the client and the job, or decline — you approve every request before it reaches your calendar.

Clients

Store names, phones, emails, addresses, gate codes, pets, parking, special instructions, notes, preferred language, and full service history. Set each client’s Confirmation channel — Automatic, Email, or Text — so confirmations reach them the way they prefer, assign their cleaning checklist, and mark them flexible if they have no fixed cleaning time.

Teams

Create crews, assign team colors, add members, track PTO, and assign jobs to the right cleaners.

Confirmations

See who still needs to confirm across Today, the next 3 days, or the next 7 days, grouped by day. Email clients get an automatic confirmation; for text clients, tap to open a ready-to-send message on your phone. Tap Resend on anything already sent. A job stays Pending until the client actually taps the link — sending it does not confirm it. Accepted add-ons show right on each job.

Add-ons

Create extras like oven, fridge, windows, laundry, or a deep-clean upgrade. Set up your add-on menu on the web dashboard — open sudsscheduler.com in any browser on your phone, tablet, or laptop. Active add-ons are offered automatically on the confirmation page, where clients tick the ones they want, and can also be added when you book a job.

Checklists

Build reusable task lists — Standard Clean, Deep Clean, Move-Out — and assign one to each client. Every job for that client carries the checklist, and the crew ticks off tasks on the web or in the app. Each visit gets its own fresh copy, so you keep a record of what was actually done.

Templates

Review and adjust the wording clients receive for confirmations, reminders, and post-service messages, in all four languages. Each message includes the client’s confirmation link. Keep them short, clear, and friendly.

Conflicts

Catch overlapping jobs, tight travel windows, PTO conflicts, and team/address issues before the workday starts. Use the date arrows to move day by day and check ahead.

Routes

See jobs grouped by team, tap Optimize to reorder stops by driving distance, and see the time and miles saved. If an address can’t be located, that stop is flagged so you can fix it — it is never dropped from your route.

Invoicing

Create and review invoices, track paid and unpaid work, and correct or remove mistakes. Accepted add-ons are added to the total automatically — see Creating an Invoice below.

Reports

Review completed work, appointment volume, revenue trends over recent months, add-on performance, and team activity.

Settings

Manage your business details, booking link, Google review link, auto-send timing (24 or 48 hours), language, clock format, notifications, password, and team access. The Subscription area shows your plan — Monthly $149/mo or Yearly $1,639/yr, about one month free — and Manage billing opens Stripe to update your card, get receipts, or cancel. Owners only. To cancel: Settings → Manage billing → Cancel plan. Your access continues until the end of the period you already paid for, and you can export your data at any time. Billing is web-only — the mobile app just links you here.

Creating an Invoice

How to create an invoice

  1. Open Invoicing (web) or More → Invoices (mobile), then choose New Invoice.
  2. Pick the appointment — today’s and earlier jobs appear, newest first.
  3. Review the accepted add-ons shown for that job.
  4. Enter the base service price in Amount, plus a tip if any.
  5. Check the total, then save.

Made a mistake? Open the invoice and use Edit (amount or tip) or Delete — on both the web dashboard and the mobile app.

Add-ons are added for you

When a client accepts an add-on on the confirmation page, it flows onto the invoice automatically. Add-ons are shown only so you can see they have been accounted for — you never type them into the Amount box or work the math in yourself.

The Invoices list marks these with a green ✨ badge, and the New Invoice screen lists each accepted add-on with a running total before you save.

Example — don’t double-charge

Standard Clean base price is $120. The client accepted one add-on when confirming — Inside Fridge +$25. When you pick that job, SudsScheduler already shows “✨ Inside Fridge +$25.00.”

  • ✅ Correct: Enter $120 (the base service only) in Amount. The total becomes $145 automatically — $120 service + $25 add-on.
  • ❌ Incorrect: Do not enter $145 or $170 in Amount. Typing the add-on in yourself double-counts it and overcharges the client.

Using the Mobile App

Best for checking the day’s schedule, viewing job details, getting directions, and working in the field. Four tabs: Today, Calendar, Clients, and More.

Today

See today’s appointments and status counts — including how many jobs are completed — with each job’s time, client, service type, duration, team, and address. The list refreshes automatically as you update jobs. Tap a job for full details; press and hold to delete it.

Job Details

Phone, address, service, duration, team (tap to assign or change), status, gate code, parking, pets, special instructions, notes, and add-ons — plus the client’s checklist, with a tick box for each task and a running count. Open directions, reschedule, or mark complete (or reopen a completed job).

Calendar & Clients

Look ahead at upcoming jobs, open details, add appointments, search clients, review contact info and notes, and import contacts from your phone.

Best Daily Workflow

Morning

  1. Open the Dashboard or Today tab.
  2. Check today’s jobs.
  3. Review pending confirmations.
  4. Text your text-channel clients.
  5. Approve any booking requests.
  6. Review conflicts and routes.

Before Each Job

  1. Open the job on mobile.
  2. Review the address and notes.
  3. Check gate code, pets, parking, instructions.
  4. Review the checklist.
  5. Open directions.
  6. Confirm any attached add-ons.

After the Job

  1. Tick off the remaining checklist tasks.
  2. Mark the appointment completed.
  3. Review any add-ons performed.
  4. Create or update the invoice.
  5. Let any post-service follow-up send.

Tips for Better Confirmations

Get more replies, fewer no-shows

  • Keep client phone numbers and emails up to date.
  • Set each client’s preferred language and confirmation channel.
  • Schedule jobs at least a day ahead when possible.
  • Use clear service names and accurate addresses.
  • Keep add-on offers simple — don’t offer too many at once.
  • Review pending confirmations each morning.
  • Resend a confirmation instead of chasing the client by phone.
  • Share your booking link on social media and your Google profile to bring in new clients.
